The Rochester Philharmonic Orchestra is looking for a vice President of Artistic Administration.  This position will be vacant starting July 1, 2018.  The organization is looking for a highly qualified candidate to start by July 1st

POSITION:                 Vice President of Artistic Administration

DEPARTMENT:          Artistic Operations

CLASSIFICATION:   Salaried / Exempt

REPORTS TO:            COO / CFO

SUPERVISES:             Director of Education, Concert Production Manager, Artistic Operations Coordinator, Librarian, and Orchestra Personnel Manager



The primary role of the Vice President of Artistic Administration is to schedule, plan, and budget the orchestral activities of the RPO’s seasons within financial and contractual guidelines, while working within the organization’s strategic plan and in support of the artistic vision of the Music Director, Principal Pops Conductor, and Resident Conductor.  Serves as the primary liaison between RPO’s management and its musicians, and supervises the Artistic Operations staff to ensure that all activities are at the highest possible professional level. As a member of the Senior Management Team, the Vice President of Artistic Administration works closely with the leadership in shaping the long-term direction of the RPO’s artistic programming.



  • Schedule and prepare master planning calendar for the orchestra’s season
  • Work with conductors to program concerts including all subscription series, community, run-outs and tours
  • Book, negotiate, and contract guest artists and conductors.
  • Determine instrumentation needs and communicate hiring for concerts to Personnel Manager
  • Prepare and suggest financial and artistic scenarios for strategic and long-term planning
  • Represent the RPO in developing, nurturing and exploring collaborations with other community institutions and artistic partners (e.g. local dance and opera companies)
  • Represent the RPO in exploring opportunities for future runouts, fee concerts and tours, as well as working with current presenting partners to improve financial viability
  • Prepare and manage the budget for orchestra activities and the Artistic Operations department
  • Research guest artists, conductors, repertoire, commissioning and other artistic initiatives
  • Meet regularly and work closely with Orchestra Committee to address musicians’ needs and concerns
  • Monitor orchestra service usage and contract compliance
  • Meet regularly and work with orchestra’s Artistic Advisory Committee
  • Work with President & CEO and COO/CFO to negotiate contracts with the orchestra, Eastman Theatre, and stage labor
  • Review composer score submissions and make recommendations to conductors
  • Provide recording assistance with selections, recoding details and contracts.
  • Communicate with program annotator and proof program pages and notes for Bravo book
  • Communicate programs and artists to RPO staff
  • Work with other RPO departments for grants and other projects
  • Manage the OPAS database
  • Participate in rotating concert duty
  • Artist transportation
  • Other duties as assigned



  • Bachelor’s Degree in Music or equivalent (Masters’ degree preferred)
  • 5 years of orchestra management or closely related experience
  • comprehensive knowledge of symphonic repertoire and classical and pops artists
  • previous supervisory experience
  • thorough knowledge of orchestra operations
  • ability to work productively under pressure to prioritize and manage multiple projects simultaneously
  • demonstrated ability to prepare and manage budgets
  • strong attention to detail
  • proven ability to problem solve
  • excellent interpersonal and written/verbal communication skills
  • an energetic, diplomatic and professional demeanor
  • computer proficiency including MS Office (especially Word, Excel and PowerPoint) and OPAS
  • valid driver’s license and vehicle
  • available to work many nights and weekends
